*If you are an alumnus and do not know your student ID number, please leave the student ID number field blank as the Educational Records and Programs Section will look it up for you.

How to obtain various certificate while in school

The following certificates can be issued from automatic certificate machines.
There are 8 machines on campus, and any student (regular student) can use them.
 

  • Certificate of enrollment (Japanese/English)
  • Certificate of Graduation (Japanese/English) * Only Master's students who graduated from undergraduate course at Tohoku University
  • Certificate of Completion (Japanese/English)
  • Certificate of Prospective Completion (Japanese/English) *only the final year
  • Transcript of Academic Record (Japanese/English)
  • School Student Passenger Fare Discount Certificate (Student Discount Certificate)
  • Certificate of Health Examination
  • Tuition fee receipt (Japanese)

* Issuance of "Graduation Certificates" from Automatic Issue Machines:

Students who have graduated from undergraduate course at TU and entered the master's program in the same year can have their graduation certificates issued by an automatic issuing machine. (If you have graduated from an undergraduate school of the Tohoku University and entered a graduate school after having been a research student, a graduation certificate cannot be issued by the automatic certificate machine.)

How to apply at Educational Affairs Section GSIS Counter

 

Be sure to bring

  • ・ID (driver's license, health insurance card, passport, etc.) Current students should bring student ID card.
  • ・If you wish the Certificate be sent by mail, then please prepare a return envelope(affix a stamp and write your name and address)
     

How to apply by Post Mail or E-Mail

Please send the following documents to Educational Affairs Section GSIS.

  • ・Application for Certificate
    ・Copy of ID (driver's license, health insurance card, passport, etc.)
    ・Return envelope(affix a stamp and write your name and address)

The "Application for Certificate Issuance" is also accepted by e-mail.
Please attach the following documents to an e-mail and send it to the E-mail address of Educational Affairs Section GSIS.
 

・Application for Certificate
・Copy of ID (driver's license, health insurance card, passport, etc.)

* The subject line of the e-mail should be "Request for Certificate Issuance.
 

* Please send a return envelope(affix a stamp and write your name and address) to Educational Affairs Section GSIS. The certificate will be sent in the return envelope.

Postage for Domestic Mail

・Add 290yen postage stamps if you wish express mail delivery.(Only if sending to an address in Japan)

・As a rule, transcripts are "strictly sealed".

* "Strictly sealed" means that the certificate is placed in an envelope and glued so that its contents cannot be opened.

Standard size (Long type -3: 23.5cm x 12cm) up to 25g 84yen (1copy)
Standard size (Long type -3: 23.5cm x 12cm) up to 50g 94yen (2-3 copies)
Non-standard size (Square type -2: 33.5cn x 23.8cm) up to 50g 120yen

If applied by proxy

・Enter the name of the proxy in the "Name of proxy" box on the application for Certificate.

・Submit a copy of both the proxy's and the student's ID.

Application From Overseas

Please send the following required documents to Educational Affairs Section GSIS.
Sending method is only by airmail or EMS (Express Mail Service)

 Please stuck stamps for the international postage fee on an envelope.
If sending by EMS
1)Application for Certificate
  Please indicate that you wish to receive EMS (Express Mail Service).
2)Copy of your ID (driver's license, health insurance card, passport, etc.)
3)Return envelope(affix a stamp for the EMS fee)
 Please prepare a square type-2 size(33.5cn x 23.8cm) envelope.

*EMS labels will be provided by the GSIS office.
*Please email us your sending address, country, postal code, and phone number to  be included on the EMS label.

・Please check the Japan Post website for the International Reply Coupon (IRC), EMS (Express Mail Service) rates, and whether or not

 EMS is handled.

・If you cannot obtain Japanese stamps, please send an "International Reply Coupon (IRC)" for the required fee together with the above
 required documents.1 IRC is equivalent to 130 Japanese yen.
 

・Return postage stamps must be Japanese stamps or international reply stamp coupons (IRC)
  *Overseas stamps are not acceptable.
 

・Please apply well in advance, as it takes time to mail the application overseas.

Commission charge

A commission charge is unnecessary. Please bear the mailing cost only.

Issuing days (excluding Saturday, Sunday, and public holidays)

  • Certificate in Japanese / 1-2 days after acceptance
  • Certificate in English / About 1week after acceptance

 

・If mailing overseas, it may take an additional week. Please apply well in advance.
・Certificate requests received during the summer and New Year holidays will be processed and issued after the holiday period.
・Please note that it may take up to 10 days from the date of receipt to the date of dispatch of certificates for those who completed their studies before March 2003 (March 2004).
